PT LEGAL ACCOUNT MANAGER
[HYBRID/REMOTE]
We are seeking a new Part-Time Legal Account Manager with experience in law firm invoicing, collections, financial reports, payroll, and human resources. Potential to become full-time position in long term.
QUALIFICATIONS:
- EXPERIENCE: 2–5-years’ experience in a LAW FIRM. Accounting Assistant, Accounting Specialist, Payroll, Accounts Payable, Accounts Receivable, Bookkeeper, or a comparable role. Understand billable vs. non-billable hours and trust reporting.
- EDUCATION: Bachelor’s degree.
- LOCATION: Live and work experience in LA County.
- COMMUNICATION: Articulate phone voice; correct spelling, grammar, and format. Spanish Speaking Optional.

- Detailed oriented, diligent, and able to “hit the ground running.”
- Accept criticism and direction well.
- Ability to think and act independently with minimal supervision.
- Exceptional problem-solving skills and work ethic.
- Professional appearance.
- TECHNOLOGY: Microsoft Word, Excel, Outlook, Adobe, Slack, Dropbox, Bill4Time, QuickBooks, and computer/technical trouble-shooting abilities.

JOB DESCRIPTION:
- ACCOUNTS RECEIVABLE
- MONTHLY INVOICES: Prepare and manage client invoicing, and billing correspondence.
- COLLECTIONS: Call/Email to collect past due payments; set up, process, obtain payment arrangements for clients as needed.
- CLIENT INQUIRIES: Available to respond to slack/emails/phone calls re: invoices/payments; explain agreement/billing terms/services.
- PAYMENTS: Process credit card and check payments; record in Bill4Time, Revenue Report, and Collections Report.
- MONTHLY REPORTS: Revenue Report, LACBA Referral Revenue Report, Trust Account Report, Collections Report, P&L Report, and any other financial reports requested by the Managing Attorney. Prepare bi-weekly, monthly, quarterly, and year-end payroll reports. File quarterly and annual payroll tax reports. Prepare tax returns. Assist with preparation for annual audits.
- DRAFT: Attorney-Client Fee Arbitration Petition Packages and Small Claims Petition Packages.
- Prepare and make bank deposits (if needed).
- ACCOUNTS PAYABLE
- VENDORS: Set up, process, and negotiate payments to vendors. Maintains vendor files, corresponds with vendors, and responds to inquiries.
- MAINTENANCE: Monitor accounts to ensure payments are up to date especially with software programs. Negotiate deals and discounts with subscription-based vendors.
- PAYROLL
- EMPLOYEE & INDEPENDENT CONTRACTORS PAYROLL:
- EMPLOYEE PAYROLL is processed bi-monthly; once a month for routine payroll; once a month for routine and bonus processing.
- Review and approve employee bonus reports.
- Perform payroll processing in Intuit/QuickBooks.
- Administer payroll-related files and recordkeeping.
- INDEPENDENT CONTRACTOR PAYROLL is done monthly.
- Review and approve independent contractor monthly invoices.
- Prepare payroll in Intuit/QuickBooks.
- Manage payroll files and record keeping related to Payroll.
- EMPLOYEE & INDEPENDENT CONTRACTORS PAYROLL:
- HUMAN RESOURCES
- RECRUITING/HIRING/ONBOARDING
- SOURCE STRATEGIES: Use various platforms, such as Indeed, LinkedIn, Glassdoor, and niche job boards to attract top talent.
- INITIAL SCREENING: Review resumes and applications to shortlist qualified candidates. Conduct initial phone interviews to evaluate candidates’ skills, experience, and cultural fit. Forward shortlisted candidates to hiring managers for further evaluation.
- INTERVIEW COORDINATION: Schedule and coordinate interviews with appropriate interview panels. Provide structured interview questions and evaluation criteria.
- OFFER PROCESS: Prepare competitive offers, including salary, benefits, and incentives. Draft employment agreements and ensure compliance with local labor laws. Set up contracts in QuickBooks and coordinate with benefits vendors for new hires.
- ONBOARDING PREPARATION: Provide new hires with welcome packages and access to necessary tools and resources. Ensure completion of required documentation i.e. W4, I9, etc. Scheduling onboarding sessions to introduce company policies, culture, and expectations.
- POST-HIRE CHECK-INS: Conduct follow-up meetings with new employees to ensure satisfaction and alignment with expectations. Address any feedback from new employees to improve retention and engagement.
- OFFBOARDING
- EXIT COMMUNICATION: Notify the employee of their final employment details, schedule and conduct an exit interview.
- DOCUMENTATION & COMPLIANCE: Prepare the final paycheck, terminate benefits with vendors, and provide information on COBRA or continuation options if applicable.

- Works with the Managing Attorney and Operations Director on evaluating and recommending changes in policies, procedures, and software related to their duties.
- Serve as a back-up for Executive Assistant when needed.
